This Privacy Policy explains how personal and corporate data is collected, processed, and safeguarded when using the Empvia platform, websites, and associated mobile or web services.
2. Information We Collect
In operating our HR SaaS platform, we process information categorized as follows:
- Employer & Account Information: Company name, registration tax ID, administrator contact details, billing credentials, and company domain.
- Employee Directory Data: Full legal name, work email, phone number, residential address, department, designation, employee ID, and bank details for automated payroll disbursement.
- Attendance & Clock-in Data: Shift assignments, punch-in/out timestamps, IP validation logs, break durations, and optional geofencing check-in coordinates when enabled by the employer.
- Leave & Performance Records: Annual/sick leave requests, doctor's notes or approval certificates, and managerial notes.
- System Usage & Telemetry: Log files, browser user agents, active sessions, and security audit trails.
3. How We Use Collected Data
We process your data strictly to deliver contracted HR software capabilities:
- To compute automated payroll, salary slips, provident fund (PF), and tax deductions.
- To track shift timings, calculate working hours, and generate statutory compliance reports.
- To authenticate employees and enforce role-based access control (RBAC).
- To detect unauthorized access attempts and maintain audit log trails.
- To provide technical customer support and operational system notifications.
4. Data Ownership & Tenant Isolation
Your data belongs exclusively to your organization. Empvia acts as a data processor on behalf of the customer (data controller). We enforce strict multi-tenant database isolation, ensuring that organization data is completely partitioned and inaccessible to other tenants.
We never sell, rent, or monetize employee personal records or organizational information to third parties or advertising networks.
5. Data Security & Encryption
Empvia implements defense-in-depth technical safeguards to preserve data confidentiality and integrity:
- Encryption in Transit: All HTTP interactions are secured via modern TLS/HTTPS encryption with industry-standard cipher suites.
- Encryption at Rest & Credential Security: Database volumes and persistent file storage are protected by encrypted storage at rest. User passwords are securely hashed using the industry-standard Argon2id cryptographic password hashing algorithm with unique salts and are never stored in plaintext.
- Access Controls: Access to production servers is restricted to authorized personnel via multi-factor authentication (MFA) and audited VPNs.
6. Data Retention & Deletion
We retain company and employee records for the duration of the active subscription agreement. Upon contract termination or an employer deletion request, customer records are securely purged from live databases within 30 days, subject to legally mandated tax and payroll accounting records retention rules.
